Since the introduction of Engagements to Microsoft Project Online we have had the below option in MS Project under Project -> Project Information
In the case of the Resource Centre -> Capacity Planning -> Capacity and Engagements heatmap view, this setting has no effect! This view shows Engagement based work – regardless of what the project has set for “Calculate Resource Utilisation from”:
However, all other Capacity planning views accessed from the Resource Center can show a mix of Engagement and Task assignment work based on this Project Information setting.
In the below image the circled work is from a Task assignment – the rest of the work is from Engagements.
Power BI/SSRS Reports
Like the Resource Centre views, these show a mix of Engagement and Task assignment work based on the Project Information setting, so again, setting the “Calculate Resource Utilisation from” option correctly is critical. In the below image the circled work is from a project where the setting is set to Project Assignments, the other work comes from projects set to use Resource Engagements.
In summary, for clients who use Engagements extensively being able to confirm that all projects have the correct setting becomes crucial. Having a simple SSRS report at hand to check on the setting for all projects and investing in some structured training for the PM’s is the key. With this support in place, clients can get some great value from the Resource Engagement feature.
